Stop Spending Friday Afternoon on Reports That Should Build Themselves

If your weekly or monthly reports are built by hand from Microsoft 365 data, they do not need to be. We automate the generation and distribution of your reports using Power Automate, so they land in the right inbox, on schedule, every time.

Power Automate

The problem

Reports that take two hours to build and are already out of date by the time they land

You know what information the report needs. You know where the data lives. But someone still has to open five spreadsheets, copy numbers across, format the table, check the formulas, and send the email. Every week. Every month. Without fail.

  • Hours spent on manual data gathering that could be done in seconds
  • Reports delayed because the person who builds them is on holiday
  • Data errors creeping in when numbers are copied between spreadsheets by hand
  • Management decisions made on last week’s data because the report isn’t ready yet

How it works

Reports that generate and distribute themselves, on schedule

1

Data sources identified

We map the data your report needs: Excel files, SharePoint lists, Dynamics 365, Teams channels, or any other Microsoft 365 source.

2

Power Automate flow built

We build a scheduled Power Automate flow that gathers the data, runs the calculations, and populates your report template automatically.

3

Report generated in your format

The report is produced in your existing Excel template, as a PDF, as a formatted HTML email, or via Power BI, whichever is most useful for your stakeholders.

4

Distributed to the right people automatically

The right version goes to the right people, different reports to different teams, alerts when a KPI falls below a threshold, and a record of every distribution kept automatically.

Common use cases

Reports we automate most often

If your report uses Microsoft 365 data, it can almost certainly be automated. Here are the types of reports we build most frequently for UK small businesses.

Weekly sales summary
Monthly P&L overview
Project status update
KPI dashboard email
Stock or inventory report
HR absence summary
Invoice and cashflow report
Customer enquiry report
Compliance tracking report
Job completion summary
Overdue task alerts
Site or branch performance

Typical result

Reports that used to take two hours now take zero

A management report built manually from five Microsoft 365 sources (a common setup) typically takes two to three hours per cycle. Once automated, it takes zero minutes of human time and arrives in stakeholders’ inboxes before they’ve had their morning coffee.

Common questions

Automated reports in Microsoft 365: answered

What can be automated in Microsoft 365 reporting?

Most regular reports built on Microsoft 365 data can be automated: weekly sales summaries, monthly financial reports, project status updates, stock or inventory reports, HR metrics, KPI dashboards, and any report that pulls from Excel, SharePoint, Dynamics 365, Teams, or other Microsoft tools.

Do I need a specific Microsoft 365 subscription?

Most Microsoft 365 Business subscriptions include Power Automate at a level that supports this kind of automation. We will confirm compatibility during the free assessment and flag anything you might need to add or upgrade, typically at no extra cost.

Can reports be sent automatically to different people?

Yes. We can set up distribution lists, send different versions to different stakeholders, and include conditional logic, for example, sending an alert only when a KPI falls below a threshold rather than every week.

What about data security?

All automation runs within your own Microsoft 365 environment and tenant. Your data does not leave Microsoft’s infrastructure. We do not have access to your business data at any point during or after the build.

Can we customise the report format?

Yes. Reports can be generated in your existing Excel templates, exported as PDF, formatted as an HTML email, or displayed in a Power BI dashboard. We work with whatever format is most useful for the people receiving it.
